Job Description

Maintain All Licences and Contracts repository for IT. Conduct Licenses reviews. Conduct Contracts reviews for new projects. Maintain Departmental Charge back and cost analysis.  Maintain Physical Inventory Registry for All IT Hardware and Software. Assure Issuance of new hardware and Software to end users and Departments.  Review and conduct Project Closures.

Technology Assessment& Support

  • Build a Licenses Management framework.
  • Build a Contract Management framework.

Documentation

  • Licences Acquiring Reports.
  • Licences utilization reports.
  • All types of IT related Contracts.
  • Change requests.
  • Contracts variation and extensions.
  • IT Contracts Terms and Conditions.

Continuous Improvement

  • Identify opportunities for continuous improvement of systems, processes and practices considering ‘international leading practice’, improvement of business processes, cost reduction and productivity improvement.
  • Attend when necessary to exhibitions, trainings and events that can improve the planning and market knowledge to be used in future projects planning
  • Continuously audit all running projects and ensure that the works are being done as per initial agreement with the vendor(s) and ensure project timeline is met.

  • Follow all relevant departmental policies, processes, standard operating procedures and instructions so that work is carried out in a controlled and consistent manner.
  • Adhere to all company/department confidentiality policies to ensure the privacy and security of all information.
  • Lead new policies creations and publishing related to Licenses, Contracts and Logistics.

Job Resposibilities

ICT Tender and Contracts Management

  • Monitor performance of contractors engaged on projects on cost efficiency fronts & provide feedback to Planning & Control Coordinator & assist him in reviewing the performance of the contractors.
  • Meet with related department managers for specific projects and receive their comments and forward them to contractor for execution
  • Meet periodically with contractor to discuss the current project status, problems and solutions needed to ensure smooth operations and project flow.
  • Meet with contractors for contracts reviews and creation.
  • Maintain all ICT contracts, manage the procurement and contracts (P&C) management life cycle for ICT contracts and licenses.
  • Negotiate and review ICT contracts specifying and conducting tenders and other procurement activities as needed in order to deliver ICT needs.
  • Ensure contracts performance in coordination with vendor and P&C department.
  • Should be well versed in information technology and procurement terminologies.
  • Focal point for all the communications related to tenders, hardware/ software licenses, purchase life cycle internal and external to ICT department.
  • Ensures that the ICT department’s contracts milestones are met as per the ICT budget.
  • Assure quality of ICT service delivery from vendors, using technical knowledge to ensure that vendor proposals and responses are appropriate and fit for purpose.
  • Communicate to all stakeholders and manage the vendors to ensure a timely solution to contractual and licensing issues.
  • Ensure that the licensing and contracts register/system is up to date at all the times.
